- dates and times of travel;
- passenger numbers;
- flight information;
- luggage or vehicle requirements;
- information about stops or your proposed itinerary;
- messages or other information you provide when contacting us; and
- information relating to a booking or payment where you subsequently book a chauffeur service.
Where you are arranging transport for another person, we may also receive limited personal information about that passenger where it is necessary to provide the requested service.
We do not ask you to provide unnecessary medical or other sensitive personal information. If you have an accessibility or other particular travel requirement, wherever possible please tell us the practical assistance required rather than providing medical details.
2. How we collect your information
We may collect personal information when you:
- complete a quote or enquiry form on our website;
- contact us by email;
- telephone or text us;
- contact us through WhatsApp;
- request or confirm a booking;
- communicate with us about an existing journey; or

We may also receive information from another person arranging travel on your behalf, such as an employer, hotel, travel organiser, family member or other passenger.
3. Why we use your information
We use personal information where necessary to:
- respond to enquiries;
- prepare quotations;
- check chauffeur and vehicle availability;
- arrange and manage chauffeur bookings;
- communicate with you about your journey;
- provide relevant journey information to the chauffeur carrying out your service;
- deal with changes, delays or other issues affecting a journey;
- maintain appropriate business, accounting and transaction records;
- respond to complaints or disputes;
- protect the security and proper operation of our website and business; and
- comply with our legal and regulatory obligations.
We will not use information submitted through a quote request for unrelated purposes without an appropriate legal basis.
4. Our legal bases for processing
Under data protection law, we must have a lawful basis for using your personal information.
Where you request a quotation or ask us to arrange chauffeur services, we generally process your information because it is necessary to take steps at your request before entering into a contract or to perform a contract with you.
We may process certain information because we are required to do so by law, including information required for accounting, taxation or regulatory purposes.
We may also process limited information where necessary for our legitimate interests in operating and protecting our business, responding to enquiries, maintaining records and resolving disputes, provided those interests do not override your data protection rights.
Where processing requires your consent — for example, certain marketing communications or non-essential website cookies — we will ask for that consent separately. You may withdraw consent at any time.
5. Sharing information with chauffeurs
Wicklow Chauffeurs operates through a network of professional chauffeur operators.
Where necessary to obtain availability, provide a quotation or fulfil a booking, we may provide relevant information to the chauffeur or operator who may carry out your journey.
This may include your name, contact details, collection and destination details, journey times, flight details and other information reasonably necessary to provide the service.
We will not provide chauffeurs with personal information that they do not reasonably require for the journey.
6. Other people we may share information with
We may also use third-party service providers to help us operate the business and website. These may include providers of:
- website hosting and maintenance;
- online forms;
- IT and security services;
- accounting or professional services; and
- payment services, where applicable.
Where these providers process personal information on our behalf, we require them to handle the information appropriately and only for the purposes for which it has been provided.
We may also disclose information where required by law, regulation, court order or a competent public authority.
We do not sell your personal information.
7. International transfers
Some technology or communications providers may process or store information outside Ireland or the European Economic Area.
Where personal information is transferred outside the European Economic Area, we take appropriate steps to ensure that the transfer is made in accordance with applicable data protection law and that appropriate safeguards are in place where required.
8. How long we keep information
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet any legal, accounting or regulatory obligations.
As a general policy:
Enquiries that do not result in a booking will normally be retained for up to 12 months after our last communication with you.
Booking and transaction records may be retained for up to six years, where necessary for accounting, taxation, legal or business record-keeping purposes.
Information that is no longer required will be securely deleted or anonymised.
We may retain information for longer where reasonably necessary in connection with an ongoing complaint, dispute, legal claim or legal requirement.
9. Marketing
Submitting a quotation request does not automatically subscribe you to marketing communications.
If we introduce email, SMS or other direct marketing, we will obtain any consent required by law and provide a straightforward way to unsubscribe or withdraw that consent.
Transactional communications relating to an enquiry or booking are not marketing communications.
10. Website and cookies
Our website may use cookies and similar technologies that are necessary for the website to function.
We may also use optional technologies for purposes such as website analytics. Where consent is legally required for these technologies, they will not be activated until you have been given an opportunity to make your choice.
You can change or withdraw your cookie preferences using the cookie controls provided on the website.
Further information about the individual cookies and tracking technologies used, including their purpose and duration, is available in our Cookie Policy / Cookie Settings.
11. Security
We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
Access to customer and journey information is limited to people who reasonably require it in order to respond to enquiries, administer bookings or provide the requested chauffeur service.
However, no internet transmission or electronic storage system can be guaranteed to be completely secure.
12. Your data protection rights
Depending on the circumstances, you may have the right to:
- request access to personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- request deletion of your personal information;
- request restriction of processing;
- object to certain types of processing;
- request transfer of certain information to you or another organisation;
- withdraw consent where processing is based on consent; and
- lodge a complaint with the Data Protection Commission.
These rights are subject to certain restrictions and exemptions under data protection law.
To exercise any of these rights, please contact us at office@wicklowchauffeurs.ie.
We may need to verify your identity before responding to a request.
13. Data Protection Commission
If you are unhappy with how we have handled your personal information, we would encourage you to contact us first so that we can try to resolve the issue.
You also have the right to make a complaint to the Irish Data Protection Commission.
Further information is available at www.dataprotection.ie.
14. Other people’s information
If you provide personal information about another passenger or person, you should ensure that you are entitled to provide that information to us.
Please provide only the information that is reasonably necessary for us to arrange or provide the requested service.
15. Automated decision-making
We do not use information submitted through our quotation process to make decisions about you based solely on automated processing that produce legal or similarly significant effects.
16. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to our services, website, business practices or legal obligations.
The latest version will be published on wicklowchauffeurs.ie together with the date it was last updated.
